Event follow-up gifts for conferences, webinars and dinners

Events create conversations that fade within a week. A gift that refers to the exact conversation you had, sent while it’s fresh, makes your follow-up the one they recognize.

Pick up the conversation, not the scan list

The booth chat, the dinner seat, the question someone asked after your session: each is a real thread you can pick up. Most event follow-up is a generic “great to meet you” email to the whole scan list. A gift tied to what you discussed is different because it proves you were listening.

This play picks up a specific conversation after a conference, workshop or dinner. Mention what you discussed only if it happened, and include the resource or next step you offered. If there was no conversation, say so and introduce yourself honestly.

When an event follow-up gift works, and when to skip it

It works when

  • You spoke with the person, and someone on your team remembers what about.
  • You offered something: a resource, an introduction, a look at the feature they asked about.
  • The gift can arrive within a couple of weeks of the event.
  • You’re allowed to contact the people on your list.

Skip it when

  • You’re sending the same note to everyone who walked past the booth.
  • The note invents a conversation. People remember whether they talked to you.
  • The person registered but didn’t attend, and the note thanks them for coming.
  • The attendee’s employer limits gifts. Check before you send.

An example note to adapt

Example only. For someone who asked about migrating historical data at your workshop, sent with the Notebook + Joy Pen. The checklist goes by email the same day.

Priya, thanks for the question about migrating historical data at Tuesday’s workshop.

I promised you our migration checklist, and it’s in your inbox. Here’s a notebook for the plan.

Alex, Acme

Printed note sent with the Notebook + Joy Pen

What the note should do

Mention the discussion only if the user supplied it. Add the useful resource or next step they actually offered.

Why this example works

  • It names a conversation that happened, with a detail only you would know.
  • It delivers the resource that was offered at the event.
  • It doesn’t ask for anything.

Use only facts you know to be true, and edit the suggested note for each person before anyone approves the gift.

A follow-up idea

The approach

Draft a short message that returns to the topic discussed. If there was no conversation, use an honest introduction.

When to send it

The day the gift ships, with the resource you promised, then reply on the same thread after delivery.

GTM Swag doesn’t send this message or watch for a reply. Each campaign keeps a follow-up draft for every recipient that you can edit and copy into your own email or sequence.

Example follow-up

Hi Priya, here’s the migration checklist from the workshop, as promised.

Did you get a chance to explore the idea we discussed? Happy to walk your team through it if that’s useful.

How to run it with GTM Swag

  1. One person or a few

    From the planner

For a few people you met, choose one gift in the planner and write a note for each conversation.

  2. A list

    From a CSV

After a larger event, upload a CSV of the people your team spoke with. Add a custom_tag column with each topic (up to 200 characters) and use {{custom}} in a shared note, or give each person their own note.

  3. Every time it happens

    As a playbook

If reps log event conversations in HubSpot, a HubSpot workflow can add each contact they tag to a playbook, so gifts are prepared as the team logs conversations and wait for approval.

An owner or admin approves every gift, or sets auto-approve on a playbook with a per-gift limit and a monthly budget. Gifts that need a photo approved, age-restricted gifts, gifts with delivery not yet priced and repeat recipients always wait for a person.

Questions about event follow-up gifts

How soon after an event should a follow-up gift arrive?

Within about two weeks, while the conversation is fresh. Check each gift’s timing before the event so your team can approve gifts in the days after it; gifts with artwork start production once you approve the proof.

What should an event follow-up note say?

Name the conversation, include what you promised, and stop there. If you didn’t talk, say you saw their session or noticed they attended, and introduce yourself plainly.

Can I personalize each note from a spreadsheet?

Yes. Add a custom_tag column with each person’s topic and use {{custom}} in the shared note, or give each person their own note of up to 500 characters.

Can I send gifts to webinar registrants?

Only to people you’re allowed to contact, and only with a note that’s honest about how you know them. Someone who registered but didn’t attend shouldn’t get a note thanking them for coming.

How much should an event follow-up gift cost?

The gifts on this page are listed from $26 to $53 per gift, and gifts marked “plus delivery” add delivery, quoted before you pay. Useful, modest gifts suit event follow-up; save larger gifts for conversations that have gone further.
